Meeting Minutes


ExComm Meeting

August 18, 2002

Location: Alan Thistlewaite's house, PA

The meeting was called to order at 2:15 PM.

July minutes were accepted as ammended.

Reports Treasurer: : 7th Place finish in Culture Quest winnings are reflected in "Other Income."

Membership: As of the end of July, we have an estimated 988 members up from 961. As of June, DVM was the 8th largest chapter in the country with 961 members. Our current 988 might make us the 7th largest (unofficial).

Program:
a. Monthly Meeting (high-lights): Feb 2003: Bill Johnson Managing Director of WRTI-FM (90.1) or other personnel in his absence scheduled to speak;

b. WHYY: volunteering during TV and radio fundraisers in exchange for a few on-air mentions of our RG. Tentative date and time Wednesday, Oct. 16th 5-8p;

c. Monthly Party: Spoke with Mike Fischer; Goal open house party every 4-6 weeks with $4-5 cover or guest assist with arrangements for reimbursement in case of shortfall and profit reports on Treasurer's report;

d. Doylestown Movies SIG: Dave Aaronson and Steve Kaess

Additionally, Monthly Meetings info:
a. September: In-ground pool SCUBA diving demonstration and class at Elaine Brody's house;

b. October: Authors of The Road to Timbuktu;

c. November: Speaker on The History of Calendars.

d. Monthly Meetings Place and Time: Applicable for the Sept through February:
i. Place: in Philadelphia as per 4-3 vote (Dan, Allan, Pete, and John Haggarty, i.e. city dwellers: "aye;" Jessica, Steve, John Heiple, i.e. suburbanites: "nay")

ii. Time: 2p every SECOND SUNDAY of the month starting in OCTOBER

Proteus: (As delivered by Dr. Jessica): "Proteus was published in a timely fashion in July (August issue), and we believe that just about everyone received their copies before the start of the month.

The September issue is at the printer and will be out this week, so people will get it a few days before the start of next month, and that is good because we have early events.

We have lots of submissions, and a healthy amount of surveys. Our biggest problem is cramming everything in!"

Results of the Proteus surveys will be the October issue.

Public Relations: Discussed ideas to increase membership through advertising and recruiting, and improve to attendance at area events.

RG Committee: (As delivered by Dr. Jessica): The next meeting is scheduled for 14 September at 7p at the Hotel Restaurant. Final chance to see the hotel and make sure your event is properly attended to. The hotel has been great about attending to our needs and making changes we requested for facilities, levels and the like.

Next meeting in October (17th ?)to do final work on booklet production, goodie bag composition, and veggie cutting.

Current head count is 22 Hotel Registrants (2 nights each) about half way to minimum number, and about the same number of RG registrants. We are ahead of last year's numbers.

Finance Committee Report: recommendation that "surplus (money) should be evenly divided between a cash (money market) insured account, and a short-term bond fund. Furthermore, it was decided to continue to dollar-cost-average our investment into the bond fund, but at an increased rate. The total amount invested into the bond fund should be divided into twelve monthly installments so that the entire amount will be invested within one year." Recommendation voted upon and accepted as presented.

Old Business

1. Howard Rosenthal was nominated and re-elected as Ombudsman.

2. Bylaws - By-Law Committee continues to work on streamlining the bylaws for a smoother operation of DVM.

3. Audit Committee

4. Vice President position is still vacant. Michele Masterfano as current Treasurer was duly elected next in line of succession to Pete Stevens pending appointment of next VP.

New business

1. Worked through the scheduled events for September. Various ExComm members pledged to make good faith effort to attend numerous events.
