Reimbursement Policy
The Delaware Valley Mensa Executive Committee, in an
effort to increase participation among our membership, has voted to
reimburse open houses held throughout the area. Within certain limits,
each sub-group area will be able to receive reimbursement for open houses
and other similar activities. The sub-group coordinator does not have to
be the host, but does have to approve the event and forward the
information on to the Ex-Comm before it is held. The event has to be
advertised in Proteus and will be advertised on our web page.
This is how the program will work:

Any DVM member will be allowed, and encouraged to hold an open house,
or other function, in their home or other area they have control over.
The member will take the proposed activity and date to the sub-group
coordinator, who will forward the information to Ex-Comm.

Ex-Comm will fund up to two (2) events per month, with the proviso
that there can only be one (1) activity of this sort in any given
geographic sub-group in any three-month period.

Ex-Comm will publish the information in
Proteus
and on the DVM web
site. Thus, we need to know the date, time, place and event description
prior to the 7th of the month, one month prior to the happening. (That
is, if you wanted to have an activity in May, we would need to know by
April 7th to insure inclusion in the May Proteus).

Reimbursement will be no more than $30. Receipts, along with an
accounting of how many people attended, must be forwarded to the
Treasurer (see Local Officers). If
money is collected from the attendees, this must also be accounted for,
and may offset the amount of reimbursement, if the collected amount minus
the receipts is within the $30 limit. As an example, if the host collects
$30 from the attendees, and the receipts total $50, that person will be
entitled to $20 from DVM. If the host collects $20 and the receipts are
$50, that person will receive $30. If the host collects $10 and the
receipts are $50, the host will still only be reimbursed $30.
Please note that the intent is not for the person hosting the open house
to collect money from the attendees; preferably they will not, because
free events will most likely draw more people.
